Accessing documents by e-mail

Population and Health InfoShare is designed to allow you to easily receive documents by e-mail. There are two ways: via this website or via an e-mail request.

On the website, go to the Document Browse page and find the document you wish to download. Select the E-mail to me link. The Document by e-mail window will appear. Enter your e-mail address in the white Send To box and select Send. The site will e-mail the document to you.

To request documents by e-mail, find the document you want in your monthly custom e-mail digest. The document keyword is at the bottom of the document listing where it says Request by e-mail using keyword. Create a new e-mail message and enter "phidocs@phishare.org" in the To: line. Then enter the document keyword in the body of the e-mail. Please do not include any other text in the message. Send the e-mail. You will receive a reply from "phidocs@phishare.org" with the selected document as an attachment.

Browsing documents

To browse documents on this website, go to the Document Browse page by selecting the Documents button on the top menu bar. This page displays all available documents. You can move through this list using the scroll bar and the page buttons.

You can filter the list of documents to narrow it to those meeting your interests. Select options from the four pull-down menus in the box at the top of the page-Topic, Region/Country, Language, Partner-and select Update Results. Selecting different options will limit the list to documents meeting those criteria. The more options you choose, the smaller the documents list is likely to be. If you select Topic: Child Health/Survival and select Update Results, for example, the page will display only those documents pertaining to Child Health/Survival. If you select Topic: Child Health/Survival and Region: Asia/Pacific and select Update Results, the list will narrow to only those documents pertaining to both child health/survival and Asia/Pacific. To remove the filter and display the entire list of documents select Reset Filters.

You can also sort the list of documents. Select one of the three Sort By options in the gray box-Title, Date, or Number of Requests. Selecting one of the links sorts the current list of documents by that value. Selecting the same link again sorts the list in opposite order. For example, if you select Title, the list will sort alphabetically by document title. If you select Title again, the list will sort in reverse alphabetical order by title. The Number of Requests value shows the number of times users have requested a document, either on the site or via e-mail.

If you wish to see more information about the listed documents, select Show Document Descriptions in the gray box. The site will display short descriptions of each document. To remove these descriptions, select Hide Document Descriptions from the same box. (The link changes depending on which option is selected.)

Browsing events

To browse events on the website, go to the events browse page by selecting the Events button on the top menu bar. This page displays all available events. You can move the list by using the scroll bar and the page buttons. You can also sort the list of events by title or date.

Registering your organization as a partner

Join Population and Health InfoShare as a Partner and share your research and ideas with a global audience. To register, select Become a Contributing Partner from the right side of any Population and Health InfoShare page. The Register to be a Partner page will appear.

Complete the Information about your Organization section. Type represents the nature of your organization. Country of Operation represents your organization's "home" country. Region and Country represent geographic areas where you work. The logo image is your organization's logo in GIF or JPG format.

In the Account Information section, enter an e-mail address for the account owner or main contact person in your organization. Enter a password and then re-enter it to verify. This e-mail address and password will serve as the user name and password for your organization or office. Under Admin e-mails, enter e-mail addresses of anyone else that you want to be notified when documents or events linked to your organization are added or modified. Enter only one e-mail address per line. For URL Short Name, enter a short name for your organization that will serve as a unique identifier for it. The short name cannot have any spaces or punctuation marks. The short name will also form the basis for a URL to your organization's description page; if your organization does not have a web page of its own, this description page could serve as one.

When all the information is complete, select Submit Request. PRB will notify you when your registration has been received and again when it has been approved.

Receiving e-mail digests

You may elect to receive e-mail messages containing summary information about documents and events that partner organizations have recently added to Population and Health InfoShare. E-mail digests include document and event titles and descriptions, and may be customized by topic and region. To receive e-mail digests, go to the e-mail digests section at the right side of the Population and Health InfoShare website. Enter your e-mail address in the Enter e-mail address box and select Go. The system will display the Subscribe to E-mail Digests page.

On the Subscribe to E-mail Digests page, enter your e-mail, occupation, and country of residence in the Your Information section.

In the Select Topics section, select All Topics or any combination of individual topics. Documents and events matching your selections will appear in the e-mail digests messages.

Under Select Regions & Countries, select All Regions, any combination of individual regions, or any list of individual countries. Documents and events are also linked to regions and countries pertinent to their subject matter and any materials matching your selected regions and countries will appear in the e-mail digests messages.

Under Select Contributors, select any contributors in which you have special interest. To select a contributor, select the name of the contributor from the drop-down list and the select Add. Repeat the select and add process for additional contributors. Documents and events contributed by your selected contributors will appear in the e-mail digests messages.

Updating your e-mail digest preferences

Once you have requested e-mail digests, you may change your preferences as your interests change. In the E-mail Digests section at the right side of any Population and Health InfoShare webpage select Manage your Subscription. The Manage Your E-mail Subscription page will appear. Enter your e-mail address in the white box under Your Information and select Go. The Manage your Profile page will appear.

You may change any selections on the page. Review your current entries for Your Information, Select Topics, Select Regions & Countries, Select Contributors, and Subscription Options and make changes as you wish. To add a new contributor, select the name of the contributor from the drop-down list and then select Add. To delete a currently selected contributor select Del next to the name of the contributor below the drop-down list.

When you have completed your changes select Submit Request. Your changes will go into effect for the next scheduled digest message.
